PTO Accrual Calculator

How much paid time off you've earned, from your accrual rate or a weeks-per-year plan.

Employers describe paid time off one of two ways: an accrual rate (the hours of PTO you earn for every hour worked) or a flat number of weeks per year. Give it either one, plus the hours you've put in, and you'll see the PTO hours and days you've banked and the pace that puts you on over a full work year.

Frequently asked questions

How is PTO accrual calculated?

Multiply your accrual rate (hours of PTO earned per hour worked) by the hours you actually worked. A rate of 0.0577 hrs/hr, for example, is what 3 weeks of PTO a year works out to: 3 x 40 / 2080 = 0.0577.

How do I convert weeks of PTO per year to an accrual rate?

Multiply the weeks by 40 (a full-time work week) and divide by 2080 (the hours in a full-time work year). Pick a weeks-per-year plan here instead of a custom rate and that conversion is done for you.

What does 'accrued days' mean if I don't work 8-hour days?

Accrued days here assumes an 8-hour workday (accrued hours / 8), the standard PTO conversion most employers use. If your workday is longer or shorter, convert the accrued hours figure using your own day length instead.

What does the annual pace projection show?

It projects your accrual rate across a full 2,080-hour work year (52 weeks x 40 hrs/wk). At this pace you would earn that many PTO days per year if you kept working full-time at the same rate.

PTO accrual = accrual rate × hours worked; days assume an 8-hour workday. Not HR advice.
